FINANCIAL MANAGEMENT SERVICES

  • Open Operating and Reserve accounts in Association’s name at Mutual of Omaha Bank

  • Prepare and mail (or email) monthly statements or annual coupons to all Homeowners

  • Collect monthly assessments. We offer the following payment methods:

    • Check

    • Automatic Withdrawal

    • Online Payments

    • All major credit cards ($15 fee applies, paid to bank to cover credit card processing fees)

  • Assist Board in developing a Delinquency Policy

  • Coordinate collection action with Association’s legal counsel

  • Receive and pay all invoices on behalf of Association

    • Copies of invoices are available on the Web Portal (if elected) and can require Board approval of invoice prior to payment being made

  • Prepare monthly financial statements on a cash basis

  • Provide necessary documents for Association’s accountant to file tax returns and prepare annual audit or review

  • Prepare Annual Operating Budget

 

ADMINISTRATIVE MANAGEMENT SERVICES

  • Provide advice to the Board in areas such as:

    • Assessment Collections

    • Rules & Regulations

    • Architectural Control

    • Communications

    • Insurance Policies & Claims

    • Governing Document

    • Legislative Updates

    • Board Member Roles & Responsibilities

    • Committees

  • Attendance at Board Meetings

  • Preparation of Management Report and supporting documentation

  • Coordinate and help conduct the Annual Meeting

  • Preparation and distribute the Annual Report

  • Serve as primary point of contact for homeowners

  • Maintain all records relevant to the Association. Records will be kept in an electronic format wherever possible

  • Provide Online Portal for all homeowners to be able to view their account, view outstanding work orders, violations, and access important Association documents

MAINTENANCE MANAGEMENT SERVICES

  • Provide advice to the Board in areas such as:

    • Maintenance Responsibilities

    • Lawn Maintenance

    • Snow Removal

    • Tree & Shrub Care

    • Preventative Maintenance

    • Energy Conservation

    • Building Exterior Maintenance

    • Interior Common Area Maintenance (if applicable)

    • Capital Improvements

    • Construction Defects

  • Prepare a Maintenance Matrix to help determine who is responsible for repair of which items within the Association

  • Inspect building(s) and grounds at scheduled property visits

  • Develop specifications for necessary maintenance projects and solicit competitive bids

  • Prepare and negotiate contracts for projects and services

  • Meet onsite with Association’s contractors to review maintenance items and/or projects

  • Issue Work Orders to qualified contractors for items requiring repair

  • Monitor Association contractor performance

  • 24/7 Emergency Answering Service
